How hire works with us, what to bring, and what is included — so there are no surprises at the counter or at the return.

How it works

From enquiry to keys in six steps

There is no counter to queue at and no form to fill in twice. This is the whole process.

  1. Tell us about the trip

    Dates, how many people, how much luggage, where you are going and whether you want to drive yourself. If you are landing in Lusaka, send your flight number too.

  2. We come back with a quote

    A specific vehicle, a price for the period, and the terms in writing — what is included, the mileage arrangement, the deposit and what happens if plans change.

  3. Confirm and we reserve the vehicle

    Once you accept the quote we hold the vehicle for your dates. We will tell you at this point exactly what to bring to the handover.

  4. Handover and condition check

    We walk the vehicle with you, note existing marks in writing, check the spare, jack and tools, go through the controls, and give you the number to call if anything happens.

  5. Support while you have it

    Our support line is available throughout the hire for bookings, roadside assistance and anything else that comes up.

  6. Return and close out

    We check the vehicle against the handover record with you present, settle anything outstanding, and release the deposit.

At handover

What to bring

Send us photographs of the licence and identity documents in advance and we will confirm they are in order before you travel — far better than discovering a problem at the airport.

A valid driving licence

Held for a reasonable period and valid for the class of vehicle. Foreign and international licences are generally acceptable — send us a photograph in advance and we will confirm yours before you travel.

Photographic identity

A passport for visitors, or an NRC for Zambian residents. We take a copy for the rental agreement.

Your payment arrangement

Confirmed with your quote. A refundable security deposit is held for the duration of the hire and released after the return inspection.

Details of any additional drivers

Anyone else who will drive must be named on the agreement and have their licence on file before the hire starts. Tell us at booking and we will add them at no drama.

Included in the rate

  • A vehicle that has been inspected, serviced and cleaned before handover
  • Scheduled servicing and maintenance for the duration of the hire
  • Insurance arranged as part of the rental
  • A written condition report at handover and at return
  • Spare wheel, jack and basic tools, checked in front of you
  • A support contact reachable throughout the hire
  • Delivery and collection within Lusaka by arrangement

Not included

  • Fuel — the tank arrangement is set out in your quote
  • Traffic fines, tolls and parking incurred during the hire
  • Cross-border permits, levies and destination insurance
  • Cleaning beyond normal use
  • Recovery costs where damage falls outside the rental terms
In writing, every time

Terms we confirm with your quote

We would rather set these out for your specific booking than publish a tariff that turns out not to apply to it. Every quote we send names each of the following, so you know the terms before you commit — not after.

Minimum driver age and licence held
Stated in your quote and in the rental agreement.
Security deposit
A refundable amount held for the hire, released after the return check.
Mileage arrangement
Whether the hire is unlimited or has a daily allowance, and the rate beyond it.
Insurance and excess
What the cover includes and the amount you carry in the event of a claim.
Fuel policy
The level the vehicle leaves with and the level it should return with.
Late return and extensions
How additional time is charged, and how to extend mid-hire if plans change.
Cancellation
Notice required and what, if anything, is retained.
Geographic limits
Where the vehicle may be driven, and the separate approval needed to leave Zambia.
Delivery & collection

We can bring it to you

For convenience we can deliver your vehicle to your preferred location and collect it once the rental period is complete — airport arrivals, your office, a hotel or a residence. Within Lusaka this is usually straightforward; further out, tell us where and we will quote it.

For arrivals, handing over at the airport saves you a trip into town at both ends of the visit.

Leaving Zambia

Cross-border trips need notice

Taking a hire vehicle across a border requires written authorisation from us, and border officials do check for it. A vehicle hired for local use will be turned back — which is the single most common and most avoidable way a cross-border trip goes wrong.

Tell us the countries and dates when you enquire, ideally a week or more ahead, and we will prepare the authorisation letter and vehicle documents and brief you on the permits and taxes to expect.
